at HIHA.

What we collect, why, and who sees it, in plain language. HIHA is a volunteer-run nonprofit, and we never sell your information.

The short version
  • We collect only what we need to run the league: registration, schedules, referees, scores, and staying in touch.
  • We never sell your information or use it for advertising.
  • Every league email has an unsubscribe link.
  • Zammy, our helper bot, uses an AI service for some answers. Please don't type personal or medical information into it.

Zammy, our helper bot (AI)

Zammy answers from this website's own pages first. When it can't find an answer there, it sends your question through our server to an AI service (OpenAI) along with public information from this site, so it can write a reply. We never send your name or email address with it.

What you type is saved, without your name, email or internet address, in a league spreadsheet along with whether Zammy could answer and which page you were on. The board reads these to see what people ask and to improve Zammy's answers.

OpenAI says it does not use information sent through its service this way to train its models, and keeps it for up to 30 days to watch for abuse.

To keep the AI from being overused, our server counts questions per visitor using a scrambled (hashed) form of your internet address, for up to a day. The address itself isn't stored.

Zammy is a helper, not a person, and it can be wrong. For anything important, check the page it links to or ask us.

Registration and payments

To register a player we collect what the league needs to place and protect them: player and guardian names and contact information, birthdate and division, signed waivers, and emergency, allergy and medical information.

Payments are handled by Square on its secure checkout page. HIHA never sees or stores your card number.

Medical and allergy details are kept in a separate, restricted file that only the volunteers who need it can open (such as the registrar, your player's head coach, and the board member on duty at games). They're used only for player safety. We delete them 60 days after the season's last game.

Registrations for some past seasons were handled by SportsEngine, which has its own privacy policy.

League emails

We email the guardians of registered players about schedules, cancellations and league news, from hihockey.com addresses. Each email has an unsubscribe link, and you can rejoin any time from the same link.

If you unsubscribe, you won't get game-day cancellation emails. The rink status at the top of every page on hihockey.com always has the latest.

The City of Hendersonville Parks department and our concessions operator also get our game cancellation emails. They receive the schedule news, not your contact information.

Scores, stats and photos

Rosters, scores and player stats (such as goals and assists) are posted on hihockey.com under the player's name, as they are on score sheets at the rink. We may also post game photos on the site and our social media.

If you'd like a photo taken down or have a concern about your player's information on the site, contact us and we'll take care of it.

Referees

Our referee scheduling keeps each ref's name and email (and a parent's email for refs under 18), the age groups they can work, the games they claim, and pay records for the treasurer. Refs get emails about open spots and their games and can reply to refs@hihockey.com.

The contact form

Messages you send through the contact form go by email to the board member or volunteer you chose. We use your name and email only to reply.

What this site stores in your browser

This site has no advertising or tracking cookies and no analytics service. It uses your browser's own storage for a few small conveniences: remembering when you've closed a pop-up note so it doesn't keep appearing, keeping a registration form draft while you fill it out, and briefly holding the latest rink status and schedule so pages load quickly.

Board members who sign in to the rink status panel get a sign-in cookie that lasts 12 hours.

Who we share information with

Only the services that run the league for us, and only what each one needs: our web and email host (Namecheap), Google (the league's spreadsheets, calendar and files), OpenAI (Zammy's AI answers), and Square (payments).

We also share information when the law requires it. We also share player, coach and referee information with AAU and with the company that insures the league, only what they need to register members, confirm insurance coverage, and handle a claim. If the league changes the organization that provides membership and insurance, we'll share the same information with the new one and update this page.

Children

We collect children's information only from their parents or guardians, through registration. Zammy and the contact form aren't meant for children to share personal information.

Your choices and how to reach us

You can unsubscribe from league emails at any time, and you can ask us to see, correct or delete the information we have about you or your player. Use the contact form or email president@hihockey.com.

We'll update this page when our practices change, and the date at the top shows the latest version.
